We have several careers for our insurance coordinators or on our insurance team. Our Insurance department consists of insurance coordinators in the office, as well as insurance support staff in our business office. The support staff consists of revenue cycle coordinators, Insurance Director and her assistants, and insurance verification clerks. Each area of our insurance department has a director to help answer questions and mentor them.

Job Title: Insurance Coordinator

Job Description: Insurance coordinators at an office will arrive on time, attend the morning huddle, and begin their daily duties. They will mark in each appointment what the patient is eligible for according to their insurance benefits breakdown. They will update the patient chart with insurance updates and notes. Furthermore, they will file claims for patients and send any additional information requested or necessary for an appeal for payment. They will assist with answering phone calls, texts, and emails. They may also assist scheduling coordinators with checking patients in. Also, they may assist treatment coordinators on providing dental treatment estimates to patients and collecting estimated co-pays.

We want all employees to make sure the patient is their number one priority while giving them the best dental experience. Pay is based on experience with opportunity for yearly raises and monthly bonuses.

Job Overview:
We are seeking an experienced and highly organized Revenue Cycle Coordinator to manage and oversee the full revenue cycle for our dental practice. This role is critical to maintaining healthy accounts receivable and requires strong follow-through, excellent communication skills, and the ability to handle complex patient and insurance balances. The ideal candidate is confident with collections, insurance aging, appeals, and payment resolution while maintaining professionalism and empathy.

Key Responsibilities:

Accounts Receivable & Patient Collections:

  • Proactively manage past-due patient balances through phone calls, emails, and written communication
  • Set up, monitor, and enforce payment plans for delinquent accounts
  • Counsel patients on financial responsibility while maintaining a professional, compassionate approach
  • Determine when accounts meet criteria to be sent to collections and process accordingly
  • Document all collection efforts and account activity thoroughly

Insurance Claims & Aging Management:

  • Monitor and manage insurance claims aging to ensure timely payment
  • Research unpaid, underpaid, or denied claims and take corrective action
  • Submit insurance appeals, corrected claims, and supporting documentation
  • Communicate with insurance carriers to resolve claim issues and payment delays
  • Ensure compliance with payer filing deadlines and appeal timelines

Revenue Cycle Oversight:

  • Identify trends related to claim denials, delayed payments, and AR bottlenecks
  • Work closely with the insurance posting and billing teams to ensure accurate account resolution
  • Reconcile patient and insurance balances for accuracy
  • Maintain clean AR with clear action plans for unresolved accounts
  • Apply strong critical thinking and problem-solving skills to complex financial situations

Systems & Reporting:

  • Utilize Dentrix and Dentrix Ascend to manage accounts, run AR reports, and track aging
  • Prepare AR and collection reports for leadership review
  • Maintain accurate, detailed account notes and financial records
  • Ensure all activity follows practice policies, compliance standards, and HIPAA guidelines

Required Qualifications:

  • 3+ years experience in dental billing, collections, or revenue cycle management
  • Strong understanding of dental insurance claims, EOBs, appeals, and aging
  • Proven experience collecting past-due patient balances
  • Confidence managing difficult financial conversations professionally
  • High level of organization, attention to detail, and follow-through
  • Strong analytical, critical thinking, and problem-solving skills
  • Experience with Dentrix and Dentrix Ascend preferred
  • Excellent written and verbal communication skills
